Instructions for Job Descriptions

Job Descriptions provide a description of the duties associated with a particular job and establish the basic/minimum requirements for appointing an individual to the position. In preparing a job description, keep in mind that wordiness and redundancies can obscure the meaning and intent and are therefore not acceptable.

The Personnel Board uses the description as the basis for establishing uniform compensation for similar positions across various departments and committees. Therefore it is essential that the description clearly and as briefly as possible, state the functions of the position, the required experience and formal training of the applicant and the normal working conditions to which the individual will be exposed.

The proper forum for discussion of factors which could effect classification of the position is with the Personnel Board during a meeting at which the appointing authority or it’s authorized representative is given ample opportunity to present, in writing or orally, any information it believes pertinent.

To properly complete a Job Description, please proceed as follows:

Print the Job Description Guidelines and store them on your local computer. You may download the guidelines by clicking this link:

You may access the Job Description Form by clicking on the link which follows; download the form and “SAVE” it in a suitable location on your local machine.

With the help of the Guidelines, which you have already printed, fill out the form on your computer. To move from section (field) to section in the form, press the TAB key or use your mouse. Page breaks will be automatically inserted as you input the text. Inappropriately located breaks will be corrected later by the Personnel Board Secretary. Print copies as you wish. It is expected that the completed Job Description will be about 2 or 3 pages long.

After completing the description it should be attached to an email and sent to the Secretary to the Personnel Board. Click here to email. The email should contain a request for the Personnel Board to rate the position for classification if so desired. If no request is contained, the position will not be rated.

After the Personnel board reviews, accepts, and classifies the job description, the Secretary will correct inappropriate page breaks and have it posted on the website on the page containing Current Job Descriptions.
